Macdonald Cordell is bound by Victorian Privacy Laws, the Information Privacy Act 2000, as well as other laws, which impose specific obligations when it comes to handling information. Macdonald Cordell has adopted the respective Privacy Principles contained in the Victorian Privacy Laws as minimum standards in relation to handling personal information.
Macdonald Cordell collects and administers a range of personal information for the purposes of assisting candidates gain employment. Macdonald Cordell is committed to protecting the privacy of personal information it collects, holds and administers.
Macdonald Cordell recognises the essential right of candidates to have their information administered in ways that protects their information from being unlawfully accessed and allows their personal information to be made available to them on request. These privacy values are reflected in and supported by our core values and philosophies.
Use and Disclosure of Personal Information
Macdonald Cordell will only use personal information for the purposes of placing a candidate in employment. For any other uses that may arise, we will obtain candidate consent before disclosure.
Personal information includes that which Macdonald Cordell determines is relevant to assisting candidates gain employment. This can include information such as the candidate’s name, contact details, educational qualifications, work history, references, results of psychological testing and work skills.
Sensitive Information
Macdonald Cordell will not request personal sensitive information from a candidate unless necessary for security clearances purposes for a prospective role. Sensitive information includes political affiliations, religious beliefs, race or ethnicity, criminal record or health information.
Should a candidate inadvertently provide sensitive information on an application, Macdonald Cordell will remove this prior to submitting candidate details to a client.
Data Quality
Macdonald Cordell will take reasonable steps to ensure the information we collect is accurate, complete, up-to-date, and relevant to the functions we perform. At the time of employment application and interview with our recruitment consultants, we expect that the personal information collected from candidates is accurate. We assume that any changes to personal information will be advised by candidates in writing to ensure the accuracy of our records.
Data Security and Retention
Macdonald Cordell has taken reasonable steps to ensure that your personal information is protected from misuse, loss, unauthorised access and modification. Security procedures are in place at our offices to protect paper based and electronically stored records which are also firewall and password protected.
When no longer needed, Macdonald Cordell will destroy or de-identify candidate personal information in accordance with legal requirements and our Administration & Records Management Policy.
Access and Correction
A candidate may submit in writing a request access to view their file. Forty eight hours notice should be provided to allow Macdonald Cordell to comply. A small administrative fee of $30 will be charged for this service.
Where access is requested in order to correct information, the candidate will need to establish that the information previously supplied was not accurate, complete or up to date.
Access requests will not be complied with if the request:
- is considered to be frivolous or vexatious;
- relates to information concerning any existing or anticipated legal proceedings between the candidate and Macdonald Cordell;
- would reveal the intentions of Macdonald Cordell in relation to negotiations with the candidate in such a way as to prejudice those negotiations
- requires access that would be unlawful
- meets other exemptions as identified in Extract from Schedule 1 of the Information Privacy Act 2000 (Vic) Information Privacy Principle 6 – Access and Correction
